Palo360

Terms of Service

Effective 24 September 2026

These terms are the agreement between you and Palo360 Proprietary Limited when you use Palo360 to keep your business books. We have kept them in plain language. By creating an account or using Palo360, you agree to them.

1. Who we are

Palo360 is a brand of Palo360 Proprietary Limited, a company incorporated in Botswana under the Companies Act (company number BW00010015874). In these terms, “Palo360”, “we” and “us” mean Palo360 Proprietary Limited.

Palo360 is accounting software for Botswana businesses, based in Gaborone. You can reach us at support@palo360.com.

2. Your account

You must be at least 18 and allowed to act for the business you set up in Palo360.

Keep your password, passkeys and two-factor codes to yourself. You are responsible for what happens under your account and for the people you invite into your organisation, and for the roles you give them.

If you think someone else has got into your account, tell us straight away at support@palo360.com.

3. Your books belong to you

The records you put into Palo360 — invoices, bills, bank and mobile-money lines, payroll, VAT returns and the rest — are yours. We only use them to run and support Palo360 for you. We do not sell your books.

How we handle personal information is set out in our Privacy notice.

4. Tax and accounting responsibility

Palo360 helps you prepare figures such as VAT returns and PAYE, but it is a tool, not a tax adviser or accountant. You are responsible for what you enter, for checking what Palo360 produces, and for filing correctly and on time with BURS and any other authority.

Answers from Lesedi, the in-app assistant, are general guidance and can be wrong. Check anything important with a qualified accountant or tax practitioner.

5. Plans, trial, and fees

The plans we publish today are Basic (P 100 per month, or P 1 080 billed once per year), Business (P 250 per month, or P 2 700 billed once per year), and Premium (P 450 per month, or P 4 860 billed once per year). Annual billing is a 10% saving compared with twelve monthly payments. All prices exclude applicable VAT. Feature allowances for Business and Premium will be confirmed before checkout is offered for those plans.

Today — before payment collection. Signing up does not take a card and does not start a paid subscription. We have not connected a payment processor, and we collect no fees. New organisations get a 30-day free trial with no card required.

When payment collection launches. Before any organisation is charged, we will email that organisation’s account holders. From the date of that email, the organisation has 30 days before any charge begins. That single 30-day window is both the advance notice required under these terms and that organisation’s final free / trial period. We will not bill an organisation unless that notification email has been sent and that 30-day window has been given. Nothing is billed without your agreement after that notice.

Organisations created after billing is already live. New organisations that sign up once payment collection is running get the standard 30-day free trial as part of normal onboarding. They do not receive a separate “billing is launching” notice, because paid billing already applies to new signups from the start of their trial (with no charge until the trial ends, subject to the checkout and plan rules we publish when billing is on).

No automatic charge without the rules above. We do not auto-convert anyone to a paid plan without the notice-and-window (for organisations that existed when billing launched) or without completing the published trial and checkout path (for organisations created after billing is live).

Cancellation and refunds. Until paid billing is live, there is no paid subscription to cancel and no fees to refund. When checkout exists, how to cancel, what access continues through a paid period, and our refund policy will be set out in updated Terms and on the Pricing page. We will give at least 30 days’ notice before those paid-billing rules take effect for you, where they change these Terms.

Closing your organisation. Separately from any future subscription, you may ask us to close your organisation at any time by emailing support@palo360.com. After it is closed, you have 90 days to export your records; then we delete them, except records we must keep by law — as set out in section 8.

6. Fair use

Do not use Palo360 for anything unlawful or fraudulent, to hide money, or to mislead BURS or anyone else. Do not try to get around our security, access other organisations’ data, overload the service, or copy or resell Palo360 without our written agreement.

We may suspend an account that breaks these rules or puts other customers at risk. Where we can, we will tell you first and give you a chance to put it right.

7. Keeping the service running

We work to keep Palo360 available and your data safe, but we cannot promise the service will never be interrupted. We keep a 7-day restore history and a nightly encrypted backup of the database, and we may need short maintenance windows. Sales captured offline at the till sync once you are back online.

Keep your own exports of important reports. You can export your data at any time.

8. Closing your account

You can stop using Palo360 at any time. To close your organisation, email support@palo360.com.

After an organisation is closed, you have 90 days to export your records. After that we delete them, except anything the law requires us to keep, which we delete once that requirement ends.

9. Our responsibility to you

As far as Botswana law allows, Palo360 is not liable for indirect or consequential losses, lost profit, or for penalties and interest arising from figures you entered or filed without reviewing.

As far as the law allows, our total liability to you for any claim is limited to the fees you paid us in the 12 months before the claim. Nothing in these terms takes away rights you have under Botswana law that cannot be excluded.

10. Changes to these terms

If we make a material change, we will tell you by email or in the app at least 30 days before it takes effect. If you keep using Palo360 after that, the new terms apply.

11. The law that applies

These terms are governed by the laws of Botswana, and the courts of Botswana deal with any dispute we cannot settle between us.

12. Language

These terms are published in English and Setswana. If the two versions ever differ, the English version applies.
